Samples Administrator / Coordinator
Summary
• To manage the processing of all relevant samples for UK and European customers, working closely with the specialist samples warehouse to ensure all samples are processed quickly and efficiently. To be a focal point for all parties (customers, colleagues, suppliers, samples warehouse) in relation to samples.
Samples Processing
• Export sample requests from bespoke samples system on a daily basis.
• Review all sample requests to ensure all relevant information is clear and correct.
• Convert to pre-agreed CSV format and then automate uploading to Sample warehouse website
• Organise direct sample requests with some suppliers (where appropriate).
• Review all sample stocks on a regular basis and order new stock as appropriate with the relevant suppliers
• Continuously update sample database entries to reflect status of requests to allow users to review.
• Monitor outstanding requests on weekly basis.
• Liaise with Sample warehouse staff to ensure samples are sent out in a timely fashion.
• Liaise with business teams to action special requests
Additional Tasks
• Create business development reports (linked to the samples database) on fortnightly basis and distribute to business teams, providing analysis and general report updates.
• Provide a focal point to Sales Reps, Product managers and Business Managers for queries related to business development reporting.
• Review monthly Samples invoice at a micro level, raising queries where required.
• Monitoring all charges related to the samples process and keeping a detailed record to establish trends in spending for all business teams.
• Be a point of contact for customers assisting them with new sample requests, providing updates on existing sample requests and helping them obtain relevant technical information either directly or through the relevant business contact.
